Ridge Condo Association Board Meeting, December 12, 2004

 

Attending: Linda Edwards, Tom Treece, Dick Johnson, Judi Carr, and Harvard Sitkoff.

 

Minutes: The minutes of September 26, 2004 were approved.

 

Financials: 1) Tom Treece raised question re termite treatment costs. (Which units were treated? What was cost per unit? Should there have been a ‘guarantee’ with the previous treatment?) 2) We want our lawyer to do as he has recommended, i.e., to send a collection notice to AMB for its unpaid monthly fees; (3) We indicated that Evergreen should accrue and bill late fees as specified by bylaws.  Tom will contact Evergreen re termite questions. Linda will communicate with Evergreen and lawyer regarding unpaid fees and late fees.

 

Landscape Review Committee: Given earlier authorization, two perennial beds have been planted by Maritime Landscaping. These are a ‘trial’, so that we can see Maritime’s work in this area and so we can test whether perennials are suitable in some areas. (The areas selected for the test were previously bare and are also places where snow accumulates.)

We will ask Maritime to indicate when in the coming months they anticipate providing the landscape proposal.

 

MPCA: No report.

 

President’s Report: A Mowing/Landscaping/weeding contract will be needed. Evergreen indicates that usual timing is contract development/request for proposals in mid-January. Contracts are awarded in mid-March. We want Evergreen’s recommendations regarding that contract, based on their experience elsewhere.

We still are not always receiving the details of work requests/work completed, in our monthly reporting. Linda has reminded Evergreen that the board needs this.

 

Property manager’s report: Property manager was not asked to attend this meeting. Dana Buffum is currently handling some of the property management work at Evergreen.

 

Old Business: Nothing new on legal review of the bylaws. Linda will ask Evergreen and the lawyer the status of the review.

 

New Business: The issue of sand versus sand and salt on sidewalks was discussed. It was agreed that safety must be the highest priority, together with preservation of the sidewalks. Evergreen and Blanchette should recommend which sidewalks should get sand only or sand and salt (based upon the type of sidewalk and its location). We cannot have each homeowner decide individually what to use, as we are collectively liable.

 

The fertilizing and weed/pest control contract with Urban Tree was discussed. We need to be sure appropriate lawn fertilizing is incorporated into contracts by spring. We will ask Maritime and Evergreen for recommendations as to what elements of the weed/pest controls should be included. There is a suggestion that current levels of application are too great, especially for trees. Weed control in planting beds, using chemicals, where authorized, should be part of landscape/mowing/weeding contract.

 

A maintenance plan preliminary outline was reviewed. We are happy to have this plan, though it needs refinement and additional detail.
